In Attendance: Rebecca Schwarz, Tim Berry, Sarah Beth Ross, Bill McKinney, Zoe Fimbel, Anna Rorbacher-Szok

Called to Order: 7:04pm

 

Schwarz calls the meeting to order.

 

Architectural Study and Phase Plan

Site visit with New Hampshire Preservation Alliance, all through building by Nicole Flynn on behalf of Tracy Kozak, including up into the belfry

Fimbel arrives 7:05 pm

Nicole is excited to be working with us and about getting the architect's updated quote- deadline is december 14th. Name of the firm was JSA Design, her name is Tracy 

Kozak- Kozak opening her own boutique preservation business (Arcove) on her license- did we mind if she made us her first project. Schwarz called NHPA to verify if it would be acceptable to switch businesses and it the NHPA confirmed that it was acceptable

Waiting for updated quote

Schwarz has grant all filled out just needs the final data from Kozak 

Matching up to $4500.00, this number was misspoken in last month’s minutes- corrected.

Kozak said everything was in the quote it just wasn't written as such

Kozak is going to speak with Beverly Thomas, Schwarz sent Kozak the information necessary

Village Holiday Walk

Everything looking good

The only change is coming from Heather Kennedy: weather is looking to be 90% chance of rain and heavy winds- talked about postponing to the following Saturday, not going to work. New rain date needed- speaking to Ben Crosby of DPW-  decision made to move it to the twelfth.

Website is a work in process

Library has pulled their donation of the luminaries, it will be too wet for the luminaries to properly function.

Carolers still available on Sunday the 12th 

Historic District Overlay map is incorrect, we were missing three homes including Fimbel, John Arico, and another home.

18 houses of which 13 are taking a book, now adding 2 houses unsure how many will want a book.

We’re going to eat the cost of the books, bringing us to $200 left in the budget

$75 total in cash from ticket sales, additional $70 taken in just today from online sales

McKinney can be here for ticket sales on Sunday

Fimbel has spoken to the docents to confirm their continued availability, day of they will be standing by the egress

Covid planning: masks for everyone, one way, bathroom access is accessible from the rear door of the building

New path: Billow->Town Hall->Pinkham->General Store->N on Main St->Mont Vernon inn->Blood Rd->S on Main St->Smith Rd->the green->McCollom Building->church->END

Historic Resources Subcommittee- have not met, but should meet to look at grants. Need to wait until we hear back from the Certified Local Government. Email needs to be sent out to Joann about her watertower before Christmas, and a meeting on the books for some time in January. Need funds to interview and record people of interest and owners of places of interest.

Fundraising Subcommittee- have not met, and will not meet until after the first of the year.

Spoke to LCHIP, we can announce that we got it and shall do so on the 15th (Mont Vernon’s birthday)

Hoping we’ll be on the Moose Plate agenda on December 22nd, but not certain.  Schwarz has sent in reworked papers.

The architect’s grant is an 8 week program so once we get the application in we’ll only need to wait 8 weeks. 

The Needs Assessment may or may not cost more than it says, waiting to hear definitively from Kozak. Probably looking like $10k to $12 versus the $85,000 we thought.

A former selectman garbled the HC mission in the last presentation and we’re hoping to add some clarity this year.

McKinney recalls that it was mentioned in the report from Williams that there was no Engineering study done, which is incorrect. The only thing not done in the Engineering Study was Internal 2nd Floor Exploration so that no holes would be cut into wall or ceilings. The report was misleading for $50,000 we did above this building, underneath this building and everything but exploratory, so it couldn't be called a complete engineering study. Current architect has offered 2 public meetings so we can include anyone who is interested. John Kendall has crawled through every part of the building and been quite happy with the soundness.

Minutes: Berry motions to approve minutes as amended, McKinney seconds, all in favor, motion passed.

Minute amendments: Up to $2,500.00 modified to $4,500.00 in minutes. The many varied misspellings of Schwarz corrected.
