Administrative Assistant (Part-Time)

 

General Position Summary: This position is responsible for providing essential administrative support to the Town of Mont Vernon Police Department. The position manages and maintains department records and all processes used to maintain the operation of the law enforcement organization.

Day to day responsibilities affect the accuracy, reliability and acceptability of operational processes and services. The duties involve a high degree of complexity in understanding various computer programs and confidential issues.

Essential Functions/Major Responsibilities

    • Greet and assist citizens with questions and requests; direct questions to the appropriate police personnel or dispatch as needed. Answer incoming phone calls for the department; direct questions to the appropriate police personnel or dispatch as needed.
    • Case file management – process and disseminate time sensitive reports, documents, and responsible for tracking and updating case file status.
    • Use IMC (Police Software Program) for inquiring, entering, modifying or researching reports and statistics. Responsible for tracking all activity for monthly and yearly reports.
    • Process Concealed Pistol Licenses.
    • Responsible for ordering all office supplies and equipment.
    • Monitor payroll and account balances for the Police Department.
    • Coordinate grant paperwork and associated documentation.
    • Other Administrative Assistant duties as assigned.

    • Strong problem solving and decision making skills
    • Must be detail oriented, highly organized, able to multi-task and prioritize
    • Strong communication and interpersonal skills
    • Knowledge of spreadsheet and word processing software
    • High integrity and ability to maintain confidentiality

 

Hours: 
 

This position is for approximately 20 hours per week (8:00 AM-12:00 PM Monday-Friday).
